Who is this course for?

Anyone who manages translations as part of their job, such as learning and development, marketing, content, localization, or sales enablement managers. You don't need any translation or technical background. It's built for people who are new to Smartcat or moving over from another translation tool. If you already use Smartcat, it's a quick way to catch up on the Chief of Staff and AI Coworkers.

How long does it take?

About 60 minutes. The course is self-paced, and you can open the sections in any order. Each section takes only a few minutes, so you can fit it around your day. You can go back to any section later to review a step.

What's included?

The ten sections follow the order you'd set up Smartcat in, from meeting your AI team to connecting your integrations. Each section pairs a short explanation with a demo you can follow along with.

Do I need a Smartcat account?

The course is most useful with your Smartcat account open alongside it, so you can follow each step with your own content. Working through the steps with your own files means you finish with real work done, not a test file. You can still watch the videos and read every section without an account open.

Are all the features in the course included on every plan?

Not all of them. The course marks the features that aren't included on every plan. If you'd like to try one, you can book a demo with our team. That way you always know what you can use straight away. Everything that isn't marked works on any plan.

What is the Chief of Staff?

Your own AI coordinator and your main way into Smartcat, included on every plan. You tell it what you need, and it assigns each step to the right AI Coworker. You can use it inside Smartcat or from the Microsoft Teams and Slack apps. It remembers how you like to work, so you don't have to repeat yourself. Section 1 of the course walks you through setting it up.

Can my Administrator see what I tell my Chief of Staff?

No. Your profile, your personal Skills, and everything your Chief of Staff remembers about you are private to you. Not even your Administrator can see them. You decide what your Chief of Staff knows about you. Section 1 of the course shows you how to set up your profile.

What is the Intelligence Fabric?

The central hub for everything that shapes your AI translations: your approved translations, your agreed terms, and your guidance on tone. Every Coworker uses it, and it gets better each time your team approves more content. Because every Coworker draws on the same source, your terms and tone stay consistent across every language. Section 3 of the course shows you how to set it up.

I've used translation memories and glossaries before. Where are they in Smartcat?

Translation memories are now called Reviewed Translations, and glossaries are now called Terminology. You can upload your existing files straight into the Intelligence Fabric. Your existing work carries over, so you don't start from scratch. The course shows you where to find them and how to add more.

Do I need to build my Intelligence Fabric before I start translating?

No. You can run your first project right away. If you don't have translations or terms yet, Smartcat can build them by scanning your website or analyzing documents you've already had translated. Your Intelligence Fabric grows as your team approves translations, so it improves with every project. The course shows you both ways to get started.

What file types can I translate?

Word, Excel, PowerPoint, OpenDocument, plain text, CSV, HTML, PDF, and many developer and subtitle formats. You rarely need to convert anything first. You upload the file as it is and download the translation in the same format. Section 4 of the course shows you how to translate files, websites, and courses.

Is there a quick way to translate a short piece of text?

Yes. Paste up to 999 characters into a chat with your Chief of Staff and ask for another language. The translation comes back in a Quick Translate tab, with no project created. Your text isn't used to train AI models and stays inside your Smartcat account. It's the fastest way to check a phrase, a message, or a short paragraph. For longer content, the course shows you how to start a full project.

What roles can I give my team?

Administrators have full access, including users, billing, and vendors. Teammates, the default role, can create and manage every project but can't manage users or billing. Linguists, the most limited role, can only work on the tasks assigned to them. Administrators can change someone's role as your team's needs change. Section 2 of the course covers inviting your team and choosing the right role.

What if I need a professional human reviewer?

What happens when my source content changes?

The Content Update Coworker finds every affected file and shows you a plan of the changes. Nothing is applied until you approve it. You then translate the update, and only new or changed text is translated again. This keeps every language up to date without redoing work you've already approved. Section 8 of the course shows you how it works step by step.
